Receptionist/ Administrative Assistant

Summary
Founded in 1920, and located in the heart of downtown, the Tampa Museum of Art inspires the residents of the Tampa Bay region and others around the world by providing engaging exhibitions and innovative educational programs that emphasize ancient, modern and contemporary art.
Under the supervision of the Executive Director, the Receptionist/Administrative Assistant plans and directs, or independently performs, diverse and highly responsible personal secretarial support duties to ensure efficient planning of Executive’s day-to-day time, as well as routine clerical and administrative functions, greet visitors and provide general information or guidance regarding activities conducted within the organization as needed.
Duties and Responsibilities

Welcomes and directs visitors and clients meeting with staff; greet persons entering the establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
Coordinates, confirms and schedules travel, meetings, calendar and appointments for the Executive Director.
Answers phone and directs phone calls to the appropriate person.
Prepares/Distributes agendas and schedules for meetings.
Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
Retrieves information as requested from records, email, minutes, and other related documents; and maintains filing systems as assigned.
Responds to and resolves administrative inquiries and questions.
Performs other duties as assigned that may be inherent in the position.

Special Requirements

Prolonged periods sitting at a desk and working on a computer.</li>
Must be able to lift up to 15 pounds at times.</li>

Qualifications

Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Proficient in Microsoft Office Suite or related software.
Excellent organizational skills and attention to detail.
Basic understanding of clerical procedures and systems such as recordkeeping and filing.
Ability to work independently.
Ability to type at the rate of 50 wpm or higher.
Spanish language skills a plus.
A High School diploma or GED, and two (2) years of office support experience
Two (2) years performing paraprofessional administrative support functions that entail implementing or coordinating office procedures.

Job Responsibilities

Full-time, 40 hours per week primarily Monday-Friday 8 am – 5 pm
Non-Exempt position
